Planning Advisory Committee

Minutes of January 31, 2005

 

The planning committee meeting was called to order at 7:05 p.m. by Gary Loertscher. Present at the meeting were: Gary Loertscher, John Buscemi, Bob Hoffman, Kay Parish, Doug Waelti, Jerry Jansen, Ray and Ann Legris, Russ Cichy, Gary Ziegler, Jim Kniffin, Joe Stadelman, Jerry Ziegler, Tim Blair, Jerry Rabas, Tim Stadelman, Carol Eberhardy, Steve Rohde, Sheldon Hollis, Joan Hollis, Joe Donlin, Mike Warmuth, Dave Beck-Engel, kk, Dan Edge, Jim Kniffin, Carla Wolf.

 

The meeting was begun with an opening prayer.

 

The minutes of the December 6, 2004 meeting were accepted.

 

Joe Stadelman and John Buscemi gave an overview of modifications in the design development plan. Most changes resulted from input received by Joe during two rounds of meetings with various committees. A video of the interior of the OLA church in Beloit was shown. OLA has many design features similar to our plan.

 

Modifications discussed were summarized as follows:

 

CHURCH

  • More space around font
  • Height of ambo
  • Elimination of one shrine (focus on St. Mary shrine)
  • Sanctuary steps (width and number)
  • Sanctuary backdrop - half walls, planters, openness
  • Planter in front of ambo
  • Elimination of pillars
  • Angled seating arrangement
  • Choir area modifications
  • Utilization of stained glass from St. Mary's

 

GATHERING SPACE

  • Permanent benches/display table
  • Center island with seating/missal and song book storage and distribution
  • Lighting/sky light
  • Food pantry collection area utilizing baskets

 

CHAPEL

  • Utilization of 10 stained glass windows form St. James
  • Altered seating pattern
  • Extension of chapel into gathering space
  • Possible location of bell tower on chapel

OFFICE AREA

  • Addition of bookkeeper office
  • Modification of storage/workroom
  • Bathroom expansion
  • Counter/serving accommodations in family room

 

MULTI-PURPOSE

  • Elimination of movable partitions for 4 classrooms (tracks will be installed so they can be added as needed)
  • Will get estimate on setting up private quarters now rather than waiting

 

KITCHEN

  • Flexibility being designed in to meet needs of different cooking/serving situations

 

BUILDING AND GROUNDS

  • Moving bell tower from parking lot
  • Parking lot designed to allow for future expansion of parking spaces
  • Garden by grand hall to emphasize openness, tree plantings, bench and table arrangements, organic sense vs. formal garden
  • Meditation garden to feature more hard surfaces with shade plants and possible fountain

 

Joe Stadelman also presented the following information:

  • The south boundary of the property has changed due to a request from Phil Fahey allowing him access to his property. This does not change the size of the property, but does change its shape. This change will have a few minor impacts on our plan.
  • Joe has initiated communication with the village about the extension of Frederick Street, water drainage, and the permitting process.

 

Moving the large stained glass window from the rear of St. Mary's to the new church was discussed. Large costs, questions about condition of the window, and architectural integrity were cited as reasons to consider not moving the window.

 

All committees, Ken Klink, and Gary Loertscher were given a "Design Development Booklet". These booklets along with written comments are to be returned to Joe Stadelman by February 28, 2005.

 

Joe Stadelman will work on details of the design development and submit them to Findorff. Findorff will assign dollar estimates to all parts of the design. In late February, Joe and Findorff will meet with Ken Klink, Jerry Rabas, Gary Loertscher and any other interested individuals to go over those initial estimates.

 

The planning advisory committee indicated a consensus of approval for the existing plan and modifications shown.

 

Tasks that need to be addressed were summarized as follows:

  • The Design Development Plan will be finalized and with cost estimates attached by the end of February
  • Development of a St. Mary/St. James budgeting process
  • Development of proposed operational costs of the new complex and how those costs will be met
  • Generation of financing scenarios for the project (amounts and sources of financing)
  • Summary of fundraising initiatives and plans for future fundraising
  • Adherence to diocese guidelines

 

Plans are being made to meet for a second time with the Diocese Building Commission in April.

 

The next meeting of the Planning Advisory Committee will be on Monday, March 7, 2005 at 7:00 p.m. in the parish hall. The purpose of that meeting will be to study cost estimates of the project and make a recommendation about how to proceed with building.
